Job Description

AusCam is hiring an Operations Manager to join our staff on a part-time basis for an initial 3-month contract (with the potential to extend). The Operations Manager works with the Executive Director and Leadership Team to develop and implement operational plans according to the AusCam Freedom Project (“AusCam”) Strategic Plan and organisation requirements.  


Responsibilities

Operations: 

  • Develop, review, maintain and update policies, procedures and content for the internal AusCam community within areas of responsibility

  • Facilitate, encourage and maintain communications amongst Development Team members to ensure the sharing of knowledge, cross-skilling and to motivate and engage individuals

  • Participate in recruitment activities for staff and volunteers based in Australia (remote and hybrid teams), including candidate review and appraisal, interviews, and selection

  • People management:

    • Assign, monitor and manage team tasks and deadlines to ensure timely delivery

    • Participate in Onboarding programs

    • Provide training and knowledge sharing opportunities, with the support of the People & Culture team

    • Responsibility for Performance Enablement Program (PEP) activities with team members including goal setting, 1:1 performance and development discussions, mentoring and coaching

    • Promote AusCam Values and a positive working culture

    • Implement Performance Improvement Program (PIP) activities where required

    • Provide input into staff Remuneration Reviews and implement salary increases

  • Oversee Customer Relationship Management (CRM) system to ensure data integrity, provide new user training, and effective user management

  • Submit monthly reports to the Executive Director, in collaboration with individual team members

  • Provide support to the Executive Director as required

Communications: 

  • Coordinate current Communications Strategy

  • Provide coaching and direction to Communications team members to ensure targets are met within agreed timelines

  • Work closely with Program and Fundraising teams to develop digital assets for program and fundraising purposes, including online campaigns

  • Send bi-monthly Electronic Direct Mailers (EDM)

  • Manage Google Analytics to drive traffic and visibility

  • Demonstrate a fluency in AusCam’s values, mission, and voice

  • Administer and manage AusCam’s website

  • Ensure that public information about AusCam’s activities is consistently branded, accessible and communicated in AusCam’s voice

General:

  • Identify areas of continuous improvement within own area of responsibility and work collaboratively with team members to implement strategies to close the gap

  • Ensure that all AusCam files and online documentation are kept updated and maintained to a high standard

  • Comply with all relevant Workplace Health & Safety (WH&S) processes, policies and obligations

  • Adhere to the AusCam Code of Conduct, and report any incidents or breaches of the Code


Requirements

Qualifications

Tertiary qualifications in a relevant field preferred, but not essential

Skills, Knowledge & Experience

Relevant experience in an operational management/supervisory role, preferably in a Not-For-Profit organisation

  • Minimum of 5 years’ operational and/or communications experience

  • Demonstrated people management skills around performance, engagement, motivation and development

  • Strong communication skills (verbal and written) in English, and the ability to prepare documentation, spreadsheets and presentations to a high level

  • Ability to problem solve and think critically and strategically

  • Demonstrated proficiency with Google or Microsoft suite (e.g. Documents, Sheets, Slides, and Email), and virtual meeting and collaboration applications

  • Excellent organisational skills and the ability to determine priorities and meet multiple deadlines

  • Detail-oriented with strong multi-tasking abilities

  • Ability to work autonomously or as part of a team to meet project goals and operational targets

  • Ability to provide, receive and apply constructive feedback to ensure continuous improvement

  • Passion for social justice and the rights of girls and women

Working Environment

The Operations Manager will spend a significant amount of time in an online setting, working with team members remotely and in person. There is no travel requirement for this role, however there may be the opportunity to meet with other Development team members in a face-to-face capacity or to visit promotional events on an annual basis. 

The Operations Manager will work 22.8 hours a week (0.6 FTE) with hours agreed between the incumbent and the Executive Director. The Operations Manager will be required to lead a weekly Development team meeting to collaborate with team members. 

This role will interface regularly with members of the Leadership Team, with occasional interaction with the Board of Directors and Strategic Advisory Council.

$70,000 salary including superannuation (pro-rated for 60% FTE).
